Privacy Policy
How we handle the personal information of players, parents and coaches — on our website and in the AUSA Hoops app.

AUSA Hoops (“AUSA Hoops”, “we”, “us” or “our”) runs basketball programs, trials and US tours for Australian players, and provides the AUSA Hoops website and mobile app (together, the “Services”). This policy explains what personal information we collect, how we use it, who we share it with, and the choices and rights you have. We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Who this policy covers
This policy applies to players, their parents and guardians, coaches and staff who use our Services or take part in our programs and tours. Because many of our players are under 18, we collect and manage a young person’s information with the involvement of their parent or guardian (see Children’s privacy below).
Information we collect
Depending on how you use the Services, we may collect:
- Account & contact details — name, email address, phone number, and the email you use to sign in. We sign you in with a one-time code sent to your email; we do not store a password for portal accounts.
- Player & program information — date of birth, gender, school and club, playing position and level, team allocation, and the tours or trials you register for.
- Health & safety information — where you provide it, medical conditions, allergies, dietary requirements, medications and emergency contacts. We collect this sensitive information to keep players safe on tour, and only with consent.
- Travel information — flight itineraries, departure cities, tickets, accommodation and rooming details.
- Content you submit — form responses, feedback, acknowledgements (for example confirming you have read the tour rules), and messages you send through the app.
- Photos & media — team and event photos taken during programs and tours, made available to players and families.
- Device & usage information — app version, device type, and, if you allow notifications, a push notification token so we can send you tour updates. We may also collect basic diagnostic and error information to keep the Services reliable.
How we collect information
We collect most information directly from you when you register for a trial or tour, complete onboarding forms, or use the app. For players under 18, we usually collect information from, or with the authority of, a parent or guardian. We may also receive information from partner associations and clubs where you have registered through them.
How we use information
- Run our trials, programs and tours, and manage your place on them.
- Show you your personalised portal — itinerary, flights, roster, packing and tour information.
- Keep players safe, including managing medical, dietary and emergency needs on tour.
- Communicate with you and send tour updates, reminders and notifications.
- Arrange travel, accommodation and logistics.
- Support college recruiting, where you ask us to and with your consent.
- Improve, secure and troubleshoot the Services.
- Meet our legal, insurance and safeguarding obligations.
Who we share information with
We do not sell your personal information. We share it only where needed to run the Services and our programs, including with:
- Service providers that host and power the Services under agreements that require them to protect your information — including our database and authentication provider (Supabase), our customer-relationship platform (HubSpot), our notification provider (Expo), our hosting provider (Vercel), and error-monitoring tools.
- Travel, accommodation and event providers (airlines, hotels, tournaments and venues) as needed to deliver a tour.
- Coaches and staff working on your tour, who may access relevant player information (such as medical and emergency details) to keep players safe.
- US colleges and coaches, only where you ask us to support your recruiting and with your consent.
- Others where required or permitted by law, or to protect the safety of a player or others.
Overseas disclosure
Our tours are based in the United States, and some of our service providers store or process information overseas (including in the United States). Where we disclose information overseas, we take reasonable steps to ensure it is handled consistently with this policy and the APPs.
Children’s privacy
Many of our players are under 18. We collect a young person’s information with the involvement of a parent or guardian, who can access, review, correct or request deletion of that information on the player’s behalf. If you believe we have collected a child’s information without appropriate parental involvement, please contact us and we will address it.
Data security
We take reasonable steps to protect personal information from loss, misuse and unauthorised access, including access controls, encryption in transit, and row-level security on our databases so users only see information they are entitled to. No system is perfectly secure, but we work to protect your information and to respond promptly if something goes wrong.
How long we keep information
We keep personal information for as long as needed to provide the Services and our programs, and to meet our legal, insurance and safeguarding obligations. When it is no longer needed, we take reasonable steps to delete or de-identify it.
Your choices and rights
- Access and correction — you can ask for a copy of the personal information we hold about you, or ask us to correct it.
- Delete your account — you can delete your AUSA Hoops login at any time from Home → Delete my account in the app. Some tour records may be retained where we are required to keep them.
- Notifications — you can turn off push notifications in your device settings at any time.
- Marketing — you can opt out of marketing emails using the unsubscribe link in any such email.
Cookies and analytics
Our website uses cookies and similar technologies to keep the site working and to understand how it is used. You can control cookies through your browser settings.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “last updated” date above, and significant changes will be made clear on this page.
